POSITION SUMMARY:
The Administrative Assistant I perform a variety of administrative duties as an assistant to the Human Resources Manager and Administrative Staff. This position is responsible for maintaining accurate records for various administrative functions. The Administrative Coordinator must maintain strict confidentiality in the performance of all job duties.
ESSENTIAL FUNCTIONS:
Under the direction of the HR Manager and Administration, provides administrative support and assistance by:
1. Acts as assistant to the HR Manager and Administration.
2. Coordinates scheduling and organization of meetings for Administration and HR Manager.
3. Assist in maintaining administrative records.
4. In absence of Administrative Assistant II, Screens telephone calls, correspondence, and appointment requests to Administration.
5. Responsible for establishing and maintaining official documents and records in appropriate files.
6. Serves as backup for scheduling and coordinating approved travel and prepares travel kit for travel for Administration and Board of Directors.
7. Rout incoming mail of the Board and Administration.
8. Assists with the maintenance of the Licensure binders of the agency.
9. Works on special projects as assigned by the Administration.
ADDITIONAL RESPONSIBILITIES:
1. May assist other departments with typing and other clerical functions as assigned by the CEO.
2. Perform a variety of duties as required to meet the needs of the departments on an as needed basis.
3. Attend staff training and meetings as required.
4. Acts as administrative scribe for meeting minutes as assigned.
5. Assists in submitting changes to agency website.
6. Performs other duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES:

1. Demonstrates ability to maintain strict confidentiality and discretion.
2. Working knowledge of business English, spelling and math.
3. Ability to type a minimum of 45 words per minute.
4. Demonstrate proficiency in MS Office Suite
5. Ability to understand and carry out oral and written instructions and to request clarification when needed.
6. Ability to maintain and establish records and files.
7. Ability to communicate clearly and concisely.
8. Human relation skills to deal effectively with patients, clients, staff, Board members, community members and visitors in person and on the telephone.
9. Ability to work independently and productively.
10. Demonstrate awareness, sensitivity and appreciation of Native American culture, traditions, customs and socioeconomic needs.
11. Ability to type accurately at a speed of at least 50 wpm, certificate required.
12. Demonstrated knowledge of computers and experience with a variety of computer programs is essential.
13. Thorough knowledge of modern office practices and procedures and the use of office machines and equipment.
14. Ability to maintain confidentiality mandatory.
EDUCATION AND EXPERIENCE:
1. At least three (3) years of experience in the performance of clerical work.
2. Two (2) years of pervious Human Resources experience preferred
3. High school graduate or its equivalent. Associate college degree preferred.
